Duties & Responsibilities
- Prepare management reports, annual reports, and meeting materials for various institutional purposes.
- Organize and provide secretarial support to institute-level meetings, committees and boards.
- Lead or coordinate events, functions, forums and conferences for the President's Office or Institute.
- Liaise with internal and external parties on behalf of the President's Office.
- Prepare and vet official correspondence including speeches, forewords, letters and emails.
- Assist in managing President's Office operations and provide administrative support.
- Maintain and update website content aligned with institutional strategic development.
- Supervise subordinate staff within the President's Office.
- Coordinate campus visits for external guests.
- Handle ad hoc projects and assignments as required.
Requirements & Qualifications
- Hold a recognised degree or equivalent qualification.
- Have at least 5 years of relevant work experience, preferably at supervisory level or in educational institutions.
- Be detail-oriented, organised, proactive, and capable of multitasking independently and in teams.
- Demonstrate high proficiency in written and spoken English and Chinese with strong communication skills.
- Possess solid experience in report writing, meeting minutes and proposal writing (advantageous).
- Show integrity and ability to handle confidential information appropriately.
- Have high proficiency in MS Word, MS Excel, MS PowerPoint, and Chinese word processing.
