Duties & Responsibilities

  • Prepare and compile management reports, annual reports, statistics, proposals, and meeting materials.
  • Organise and provide secretarial support to institute-level meetings, committees and boards.
  • Lead or coordinate events, functions, forums and conferences for the President's Office or Institute.
  • Liaise with internal and external parties on behalf of the President's Office.
  • Prepare and vet official correspondence, including speeches and letters.
  • Assist in managing the President's Office operations and provide administrative support.
  • Maintain and update website content in line with institutional strategy.
  • Supervise subordinate staff within the President's Office.
  • Coordinate and arrange campus visits for external guests.
  • Handle ad hoc projects and duties as required.

Requirements & Qualifications

  • Hold a recognised degree or equivalent qualification.
  • Have at least 5 years of relevant work experience; supervisory level experience or work in educational institutions is advantageous.
  • Be detail-oriented, organised, proactive, goal-oriented, with strong responsibility and commitment.
  • Possess high proficiency in written and spoken English and Chinese with excellent interpersonal skills.
  • Preference for candidates with solid experience in report writing, meeting minutes, and proposal writing.
  • Demonstrate high integrity and ability to handle confidential information.
  • Have high proficiency in MS Word, Excel, PowerPoint, and Chinese word processing.
